# How to Manage Overnight Shifts in Workstatus

# How to Manage Overnight Shifts in Workstatus

### 1. What is an Overnight Shift?
An **overnight shift** is a work schedule that starts on one calendar day and ends on the following day. This type of shift is commonly used by employees who work night shifts or follow a different country's working hours.
**Example:** An employee starts working at 6:30 PM on 19 October 2026 and finishes at 3:30 AM on 20 October 2026.
In Workstatus, the shift can be configured to cover these hours. The shift's start date is treated as the **business date** for reporting purposes, according to the expected overnight-shift behavior.

### 2. Log in to the Workstatus Admin Account
* Log in to Workstatus using the **Admin account**.
* Navigate to **Settings**.

### 3. Create an Overnight Shift

2. Click **Create Shift**.
3. Enter the shift details as follows:
   * **Shift Name:** US Overnight Shift
   * **Shift Start Time:** 06:30 PM
   * **Shift End Time:** 03:30 AM
   * **Timezone:** IST (Indian Standard Time)
4. Save the shift.
5. Assign the created shift to the required user(s).
**Example:** If users are located in India but work according to a US shift schedule, configure the shift according to their intended working hours in IST.

### 4. Configure Tracking Mode
| If the user's silent timer should run only during the assigned shift, configure the tracking mode.
* Go to **Settings → Tracking Mode**.
* Select **Within Shift** according to the user's requirements.
* Click **Save**.
This setting restricts timer tracking to the configured shift, according to the application's tracking rules.

### 5. How to View Overnight Shift Data in Timesheets
* Navigate to **Timesheets**.
* Select the relevant user and the business date, **03 October 2026**.

### 6. How to View Attendance Data for an Overnight Shift
Workstatus records attendance according to the **business date of the shift**, which is the date on which the shift starts. Even if the shift ends on the following calendar day, the attendance data is associated with the shift's start date.

**Example**
Suppose an employee is assigned an overnight shift with the following schedule:
* **Shift Start:** 03 October 2026, 06:30 PM
* **Shift End:** 04 October 2026, 03:30 AM
* **Total Shift Duration:** 9 hours

###### How Attendance Data Is Displayed
* Navigate to **Calendar → Attendance**.
* Select the required date range.
* Search for the relevant employee.
* Review the employee's attendance record.
**Expected Result:**
* **Business Date:** 03 October 2026
* **Check-in:** 03 October 2026, 06:30 PM
* **Check-out:** 04 October 2026, 03:30 AM
* **Total Hours:** 09:00 hours
The attendance record appears under **03 October 2026**, because that is the date on which the shift started. The check-out time remains 04 October 2026, reflecting the actual time the employee finished work.

|| Important Note: The complete overnight shift should be associated with its start date as the business date, rather than being counted as a separate attendance record for the following day.

* Navigate to **Reports → Time & Activity Report**.
* Select the required date range, including the shift's start date.
* Apply the relevant user filter.
* Review the user's effective hours, activity, productivity, and other available tracking details.
**Expected Result:** The overnight shift's data should appear under **03 October 2026**, even though the shift ends on 04 October 2026.

### 8. Understand the Business Date for Overnight Shifts
Workstatus uses the date on which the shift starts as the **business date** for an overnight shift.
**Example:**
* **Shift Start:** 03 October 2026, 06:30 PM IST
* **Shift End:** 04 October 2026, 03:30 AM IST
If the user starts the timer at 06:30 PM on 03 October and stops it at 03:30 AM on 04 October, the entire shift's data should be associated with **03 October 2026**, the business date.

### Important Note: Timezone Handling
* Shift start and end times are configured using the selected shift timezone.
* The business date is determined by the date on which the shift starts.
* **Time & Activity Report:** **Data is displayed according to the timezone of the logged-in user, as indicated in the report.**
* When validating overnight shifts, ensure that the selected date range includes the shift's start date.
