How to Create Recurring Tasks?


A recurring task in Workstatus is a task that is automatically repeated at specified intervals (e.g., daily, weekly, monthly). This feature helps users avoid the need to manually create the same task every time it needs to be completed. By setting a recurrence schedule, the task is generated automatically, saving time, reducing errors, and ensuring consistency in task management. It’s ideal for tasks that are part of routine operations, like daily check-ins, weekly reports, or monthly reviews.


Roles and Permissions:


  • Owner/Manager/Delivery Head: They can Add Recurring Task.
  • User: They can Add Recurring Task.
  • Team Lead (User): They can Add Recurring Task.
  • Department Head (User): They can Add Recurring Task.
  • Project Manager (User): They can Add Recurring Task.

Read out the steps below to learn more about how you can create recurring tasks:


  • Step 1: Go to Projects and click on 'View Project'.



  • Step 2: Click on "Add Task", a dialog box will appear where you can enter the required details of the task.



  • Step 3: Click on 'Due Date' and select 'Set Recurring' option after selecting the start/end date and time of your task (optional).



  • Step 4: Clicking on 'Set Recurring' will open recurrence configuration window where you can select the frequency, recurrence schedule, and other configurations.



Frequencies: Daily, Weekly, Monthly, Yearly, Days After and Custom.


Recurrence Schedule: On schedule, On status change.

i) On Schedule: Creates or updates the task automatically based on the end date and time of the task.

ii) On Status Change: Creates or updates the task only when the task reaches a specified status (e.g., Completed).


Create new task: Enabling it will create a new task on every recurrence, whereas disabling it will update the same task on each recurrence.


Recur Forever: When enabled, the task will continue to repeat indefinitely. When disabled, you’ll be able to set a limit on how long the recurrence should continue using one of the following options:

i) Repeat: Set a specific number of times the task should recur.

ii) Ends On: Choose a specific end date after which the task will no longer recur.


Skip Weekend: The recurring task will not recur on a weekend.


Options: Choose what to include from the original task in future instances. Options include: Comments, Description, Assignees, Attachments, Checklist, Tags, Subtasks, and Subtask's Assignees.


  • Step 5: Here are short explanations for each frequency type available in Workstatus:



Daily: The task repeats every day based on the schedule or status change you set.


Weekly: Recurs once a week on the selected day.


Monthly: Options include:

  • Same day each month
  • First day of the month
  • Last day of the month
  • Default day of the month

For example, you select the second Wednesday of July as your due date for the initial recurring task.

The default day of the month will be the 'Second Wednesday' of each month.


Yearly: Recurs once a year on the selected day.


Days After: Recurs a certain number of days after the task has been marked complete.


Custom: Indicate if the task should repeat every few days, select days in the week, select weeks in the month, or select days of the year.


  • Step 6: After selecting configuration as per requirement, click on save and your recurring task will be saved with recurring icon on its end date field.




Edit Recurring Tasks:


You can edit instances of recurring tasks by clicking on recurring icon of any recurring task without impacting the recurring schedule.

To completely reset a recurring task, you will need to remove the recurrence. 


Stop a task from Recurring:


To stop a task from recurring:

  1. Open the recurring task. 
  2. Click the end date.
  3. Select Don't Recur.
