Workstatus – Jira Integration

1. Overview

The Jira integration allows Workstatus to connect with Jira and synchronize Jira projects and tasks with Workstatus.
This integration helps teams manage their work in Jira while tracking time, activity, screenshots, and productivity through Workstatus.

Integration Flow

Jira → Workstatus
Jira remains the primary platform for task management, while Workstatus is used for time and productivity tracking.

2. Prerequisites

Before configuring the Jira integration, ensure the following requirements are met:

• User has Organization Owner or Manager access in Workstatus.
• User has access to the required Jira project.
• Jira account email address is available.
• Jira domain is available.
• Jira API token has been generated.
• Required Jira users and projects are available for mapping.

3. Generate Jira API Token

The Jira API token is required to authenticate Jira with Workstatus.

Steps

• Log in to your Jira/Atlassian account or click on Create API Token
• Open Atlassian Account Settings.
• Go to Security.
• Locate API Tokens.
• Click Create API token.
• Enter a name for the token.

Example:

• Click Create.
• Copy the generated API token.
• Store the token securely.

4. Open Jira Integration in Workstatus

• Log in to your Workstatus account.
• Select the required organization.
• Go to:

Settings → Integrations

• Click Add Integration.
• Select Jira.

The Jira integration configuration page will be displayed.

5. Enter Jira Authentication Details

Enter the following information:

1. Verify the entered details.
2. Click Next.
3. Workstatus will authenticate the Jira account.

If authentication is successful, the Jira project configuration screen will be displayed.

6. Connect Jira Project

After successful authentication:

1. Click Connect Project.
2. Select the required Jira project.
3. Continue to the project mapping step.

7. Map Jira Project to Workstatus Project

The Jira project needs to be mapped to a Workstatus project.

Steps

1. Open Project Mapping.
2. Select the Jira project.
3. Select the corresponding Workstatus project.

You can either:

• Select an existing Workstatus project, or
• Create a new Workstatus project.

4. Verify the project mapping.
5. Click Sync.

Example

Once the project is synchronized, Jira tasks/issues can be available in the mapped Workstatus project.

8. Map Jira Users to Workstatus Use

User mapping associates Jira users with their corresponding Workstatus members.

Steps

1. Open User Mapping.
2. Review the available Jira users.
3. Select the corresponding Workstatus member.
4. Verify the mapping.
5. Click Sync.

Example

9. Jira Task Synchronization

After project and user mapping is completed, Jira tasks can synchronize with Workstatus.
Example :
A Jira issue is created:
JIRA-123 – Fix Login Issue
After synchronization, the corresponding task is available in Workstatus under the mapped project.
Synchronization Flow

• Go to project section
• Open Project which is map with Jira Project
• Click on List
• Click on Sync button then Jira Project Task is sync with Workstatus

10. Task Management

Jira remains the primary platform for managing integrated Jira tasks.
The following activities performed in Workstatus will be reflected on the Jira platform:

• Create task/issue
• Edit task/issue
• View Task/Issue
• Update task/issue
• Delete task/issue
• Manage Jira issue details
• Manage Jira workflow/status

Workstatus is used for tracking work performed against the synchronized task.

11. Time and Activity Tracking

Once the Jira task is available in Workstatus, the member can work on the task and Workstatus can record:

• Time tracked
• Activity
• Screenshots
• Application usage
• URL usage
• Productivity information

This allows organizations to compare work activity and tracked time against Jira work items.

12. Disconnecting Jira Integration

If the Jira integration needs to be disconnected:

1. Go to:

Settings → Integrations

2. Locate the Jira integration.
3. Select the connected Jira integration.
4. Choose Disconnect.
5. Confirm the action.

Behaviour after disconnection

• After Disconnecting connection All new operations will be handled directly in Workstatus

Existing task after disconnection

For tasks created during integration:

• You cannot edit or update
• You cannot delete
• You can only mark them as complete

Same task status is in progress in Jira and you again Connect then complete task status will match with Jira task status

13. Reconnecting Jira

If the Jira integration is disconnected and needs to be restored:

1. Go to Settings → Integrations.
2. Select Jira.
3. Reconnect the required Jira project.
4. Click On three dot
5. Click on Connect

14. Troubleshooting

14.1 Jira Authentication Failed

Possible Causes :

• Incorrect Jira email.
• Incorrect Jira domain.
• Invalid or expired API token.
• Jira account does not have the required permissions.

Resolution :

1. Verify the Jira email.
2. Verify the Jira domain.
3. Generate a new Jira API token.
4. Enter the updated token in Workstatus.
5. Try authentication again.

14.2 Jira Project Not Available

Possible Causes :

• Jira account does not have access to the project.
• Incorrect Jira account was connected.
• Project permissions are insufficient.

Resolution :

1. Verify the Jira account.
2. Open Jira directly and confirm project access.
3. Verify project permissions.
4. Reconnect Jira if required.
5. Try loading the projects again.

14.3 Jira Task Not Appearing in Workstatus

Possible Causes :

• Jira project is not mapped.
• Synchronization has not completed.
• Jira project was disconnected.
• User mapping is incomplete.

Resolution :

1. Verify the Jira project connection.
2. Verify Workstatus project mapping.
3. Verify Jira-to-Workstatus user mapping.
4. Trigger synchronization again.
5. Verify the task in the mapped Workstatus project.

14.4 User Is Not Available for Mapping

Possible Causes :

• Jira user is not available to the connected Jira account.
• Workstatus member does not exist.
• User mapping has not been synchronized.

Resolution :

1. Verify the Jira user.
2. Verify the Workstatus member.
3. Ensure the user has access to the required project.
4. Refresh/synchronize the integration.
5. Perform the user mapping again.

15. Validation Checklist

After completing the integration, verify the following:

• Use a Jira account with appropriate project permissions.
• Keep the API token secure.
• Do not share API tokens through public channels.
• Verify project mapping before starting synchronization.
• Verify user mapping before assigning work.
• Validate task synchronization after the initial setup.
• If synchronization stops unexpectedly, first verify that the Jira project is still connected.
• After reconnecting the integration, verify both project and user mappings.
