Projects Overview



Projects are a great way to organize tasks. Creating projects lets you monitor how much time was spent by your team on a specific project so you can easily generate reports against them so you can stay on top of project budgets.

After creating an organization, the first thing you will need to do is create projects and assign them to your team members, or yourself. Your team won’t be able to track any time unless they are assigned to a project, so this step is very important.

Note:
In order to see the updated changes on the screen, Please click on the refresh icon.
Parent task cannot be deleted until its child are handled(deleted/move to another parent).
Task list should exists to make a Task.
Project having status as Cancelled, On hold, Archive, Completed cannot be Updated.

Roles and Permissions:


Owner/Manager/Delivery Head-> They can Create projects/Add project, View Projects, Edit Projects, Archieve Projects, Add Project Members, Remove Members in projects and View projects Members, Change Status, Delete Projects and Mark as complete.
User-> They can't Create projects/Add project, Edit Projects, Archieve Projects, Add Project Members, Remove Members in projects and View projects Members, Change Status, Delete Projects and Mark as complete. They can view only assigned Project.
Team Lead (User)->They can't Create projects/Add project, Edit Projects, Archieve Projects, Add Project Members, Remove Members in projects and View projects Members, Change Status, Delete Projects and Mark as complete. They can view only assigned Project.
Dept Head (User)->They can't Create projects/Add project, Edit Projects, Archieve Projects, Add Project Members, Remove Members in projects and View projects Members, Change Status, Delete Projects and Mark as complete. They can view only assigned Project.
Project Manager (User)->They can't Create projects/Add project, Archieve Projects and Delete Project. They can View Project, Edit Project, Add Project Member, Remove Members in Projects, View Projects Members, Change Status and Mark as complete Project.

How to view Projects Status



Total Project : It is indicates total number of projects in the organization.
Yet to Start : It is showing the number of projects in which work has not started yet.
In Progress : It is showing the number of projects in which work has started and projects are in progress.
On Hold : It is showing number of projects which is kept on Hold.
Completed : It is showing number of projects which are mark as completed.
Archived : It is showing number of projects have been mark as archived.
Cancelled : It is showing number of projects which are cancelled/deleted.





If you click on project status name you will be redirected to that project status page, for example if you want to see list of all in progress projects then click on progress tab then list of all in progress projects will appear.

View Project



STEP 1

Select Projects from the main navigation menu. We can see the Headers as below :



You may also click on the Project name(3) OR kebab menu icon (1)(three dots)>>View Project(3) to see the detail view.



It gives an overview of the project where project Start/End date, Created by/time, Member, Client & Project id is shown. It also gives you a pictorial representation of the project status.

How to Filter Project


The Project Filter functionality in the image allows users to refine and narrow down the list of projects displayed based on specific criteria.
The filter options help users quickly find and manage projects based on members, clients, and project status, streamlining the workflow. The filter options include:
1.Filter Button : Opens the filtering options.
2.Members : Allows filtering projects based on the members involved. You can select "All Members" or choose specific team members to view projects they are assigned to.
3.Clients : Provides an option to filter projects by specific clients. You can select a client to see only the projects associated with that client.
4.Status : Filters projects based on their status, such as "In Progress," "Archived," "On Hold," etc. Selecting a specific status will show only the projects in that phase.
5.Apply : Applies the selected filters and updates the project list based on the chosen criteria.
6.Clear : Resets the filters to show all projects again.



Creating Projects



STEP 1

Select Projects from the main navigation menu.



STEP 2

Click Add New project.



STEP 3
When you click on add project then add project drawer will open and following fields are there : Basic Information And Define Workflow
Basic Information contains Name , Description ,Members and Billable and Define Workflow contains Define your workflow & Customize defaults for Starter





Click “Save” to finalize the project.

Note :



While creating a new organization a new project will automatically be created named as Default Project.
Default Project will be assigned to all the members who will be a part of this project by default ( even without adding it through invite member ).
Default Project will be a non editable project.
No user ( any role ) would be able to make any changes in Default Project project.
Any user ( any role ) would not be able to delete the Default Project.
User will also not be able to add any todo, milestones, todo group in this project.

Edit project roles from the Projects section



STEP 1

Select Projects from the main navigation menu.



STEP 2

Click on the [ ⋮ ] button on the right side of the project you wish to edit and then click on the “Edit project” option.



STEP 3

You can edit Project name, Manager, Project Assignees and Project statu



Click “Save” to finalize the project.

How to Refresh Project



The functionality of the refresh button is to update the data on the Projects page with the most recent information. This ensures that any changes to project status, member activity, task progress, or other updates that have occurred since the last refresh will be reflected on the screen when the button is clicked.

In this context, clicking the refresh button would reload the current status, client information, progress, and other metrics displayed for each project, allowing for real-time tracking and management.

How projects appear on the tracking client?



Once your team members are assigned to projects, they will appear in their tracking clients. Projects will appear in the highlighted section of the desktop tracker, as shown below. The user can simply click on the project’s name to select it and then press the Start button to track their time.

Please note team members must be assigned as either a User or Manager to track time against projects.

Change Project Status



STEP 1

Select Projects from the main navigation menu.



Click on the Status button on the right side then status option dropdown will open then you can change project status.

Archiving projects



STEP 1

Select Projects from the main navigation menu.

STEP 2

Click on the [ ⋮ ] button on the right side of the project you wish to archive, and then click on the “Archive project” option.



STEP 3

A pop-up notification will appear. Select Yes to confirm you wish to archive the project.



Restoring archived projects



STEP 1

Select Projects from the main navigation menu.



STEP 2

Click on the Archived tab.




STEP 3

Click on the [ ⋮ ] button on the right side of the project you wish to restore, and then click on the “Unarchive project” option.



Mark as complete



STEP 1

Select Projects from the main navigation menu.



STEP 2

Click on the [ ⋮ ] button on the right side of the project you wish to restore, and then click on the “Mark as complete” option.





Delete Project



STEP 1

Select Projects from the main navigation menu.



STEP 2

Click on the [ ⋮ ] button on the right side of the project you wish to restore, and then click on the Delete Project” option.



You will get confirmation pop up, there are three option are present if you want delete project and keep backup of this project then click on Backup & Delete option then project will delete and project** Backup Data will received on mail**. if don't want backup then click on Delete option. If you want to Cancel then click on Cancel then project will not delete
