Resource Plan vs Actual Report


Overview


The Resource Plan vs Actual Report compares the planned (estimated) hours allocated to resources with the actual hours consumed. It helps managers monitor resource utilization, track project progress, identify deviations from the planned effort, and ensure resources remain within their allocated budgets.

Members

Displays the member's profile name and unique ID.

Project

Displays the project(s) assigned to the selected member.

Planned Hrs

Displays the total estimated hours allocated to the member's tasks during the selected period.

Consumed Hrs

Displays the total actual hours logged by the member on assigned tasks during the selected period.

Remaining

Displays the remaining planned hours, calculated as Planned Hours − Consumed Hours.

% Consumed

Displays the percentage of planned hours consumed, calculated as (Consumed Hours ÷ Planned Hours) × 100.

Status

Indicates the resource plan status based on the percentage of planned hours consumed: On Track (<92%), At Risk (92%–105%), and Over (>105%).


Widget Description



1. Total Planned Hours

  • Displays the total estimated hours allocated to all team members across active projects during the selected period.


2. Hours Consumed

  • Displays the total actual hours logged by team members on assigned projects and tasks during the selected period.


3. Remaining Planned

  • Displays the total remaining planned hours, calculated as:


Remaining Planned = Total Planned Hours − Hours Consumed


This widget helps track the remaining effort available for the selected projects.


4. Over-Allocated Resources

  • Displays the number of team members whose actual consumed hours have reached or exceeded 105% of their planned hours, indicating that they have exceeded their allocated effort.


5. On Track Projects

  • Displays the number of active projects where the actual consumed hours are progressing according to the planned schedule (less than 92% of the planned effort consumed), indicating that the projects are currently on track.



Steps to Access the Report


  1. Log in to the application using valid credentials.



  1. Navigate to the Reports section.



  1. Click Resource Plan vs Actual Report.




Apply Date Range


  1. Click the Date Range field.



  • Select the required date range or specify a custom date range.
  • Verify that the report data is updated based on the selected date range.



Apply Filters


  1. Click the Filters button.



  • Configure the required filters to refine the report data.


Scope Filters


The Scope section allows you to filter report data by:



  • Members
  • Departments
  • Teams
  • Use the Members filter to display data for specific members.
  • Use the Projects filter to display data for selected projects.
  • Use the Project Status filter to select one or more project statuses.
  • Select the Show Deleted Users checkbox, if required, to include deleted users in the report.
  • Click Apply Filters.
  • Verify that the report is updated according to the selected filters.



Metrics Filters


The Metrics section allows you to filter report data based on the following criteria:



Planned Hours

  • Apply the Planned Hours filter to display resources based on the total estimated hours allocated.


Consumed Hours

  • Apply the Consumed Hours filter to display resources based on the total actual hours logged.


Remaining Hours

  • Apply the Remaining Hours filter to display resources based on the remaining planned hours.


Formula:


Remaining Hours = Planned Hours − Consumed Hours


% Consumed

  • Apply the % Consumed filter to display resources based on the percentage of planned hours consumed.


Formula:


% Consumed = (Consumed Hours ÷ Planned Hours) × 100


Status

  • Apply the Status filter to display resources based on their resource budget status.



Export the Report


  1. Click the Export button.



  1. Select one of the following export formats:


  • CSV
  • XLSX
  • PDF
  • JSON



  • Verify that the report is exported successfully.



Share or Schedule the Report


  1. Click Send Report to share the report with the required recipients.



  1. Click Schedule Report to automatically generate and deliver the report at scheduled intervals.
