Resource Utilization Report


Overview


The Resource Utilization Report helps monitor individual resource utilization by comparing available capacity, logged hours, and billable hours. It enables managers to:


  • Identify over-utilized users who may be at risk of burnout.
  • Identify under-utilized users with available bandwidth.
  • Analyze overall workload distribution across teams.
  • Drill down into individual users to review allocation history, project assignments, and billable vs. non-billable utilization trends.

Description

All Members

Displays the member's profile name and unique ID.

Team

Displays the team assigned to the member.

Logged

Total logged hours (Billable + Non-Billable) during the selected date range.

Available

Total available working hours based on work schedules and organizational settings.

Capacity

Capacity Utilization (%) = (Logged Hours ÷ Available Hours) × 100

Billable

Billable Utilization (%) = (Billable Hours ÷ Logged Hours) × 100

Band

Indicates the workload category based on Capacity Utilization: Over Allocated (>90%), Heavy (80–90%), Healthy (50–80%), Light (30–50%), and Under Utilized (<30%).


NOTE:-These entries will only be visible when a task has been added to the project and the tracker is actively running against that task within the project.



Steps to Access the Resource Utilization Report


  1. Log in to the application using valid credentials.



  1. Navigate to the Reports section.



  1. Click Resource Utilization Report.




Apply Date Range


  1. Click the Date Range field.



  1. Select the desired date range or specify a custom date range.



  1. Verify that the report data is updated based on the selected dates.




Apply Filters


  1. Click the Filters button.



  1. Choose the required filters to refine the report results.



Scope Filters



The Scope section allows you to filter report data by:


  • Members
  • Departments
  • Teams



  • Use the Members filter to view utilization for selected members.
  • Use the Projects filter to display data for specific projects.
  • Use the Project Status filter to select one or more project statuses.
  • Select the Show Deleted Users checkbox, if required, to include deleted users in the report.



  1. Click Apply Filters.



  1. Verify that the report is updated according to the selected filters.




Metrics Filters



The Metrics section allows you to filter report data based on utilization percentages.



Capacity


  1. Apply the Capacity filter to display users within a selected capacity utilization range.


Capacity Utilization Formula


Capacity Utilization (%) = (Logged Hours ÷ Available Capacity Hours) × 100




Billable (%)


  1. Apply the Billable (%) filter to view users based on their billable utilization percentage.


Billable Utilization Formula


Billable Utilization (%) = (Billable Hours ÷ Logged Hours) × 100




Band


  1. Use the Band filter to categorize users based on their workload.



The available workload categories are:


  • Over Allocated: Greater than 90%
  • Heavy: 80% – 90%
  • Healthy: 50% – 80%
  • Light: 30% – 50%
  • Under Utilized: Less than 30%



Export the Report


  1. Click the Export button.



  1. Select the desired export format:


  • CSV
  • XLSX
  • PDF
  • JSON



  1. Verify that the report is exported successfully.



Share or Schedule the Report


  1. Click Send Report to share the report with the required recipients.



  1. Click Schedule Report to configure automatic report delivery at scheduled intervals.
