Timesheet Approval Report – Overview


The Timesheet Approval Report in Workstatus provides a detailed view of employees' submitted timesheets and their approval status. It enables managers and administrators to review, approve, reject, or monitor timesheet entries, ensuring that recorded work hours are accurate before payroll processing or client billing.


Key Information Available in the Timesheet Approval Report


  • Employee Name – Displays the name of the employee who submitted the timesheet.
  • Date – Shows the date or period for which the timesheet was submitted.
  • Project – Displays the project associated with the logged hours.
  • Task – Shows the task or activity performed by the employee.
  • Logged Hours – Displays the total hours recorded in the timesheet.
  • Approval Status – Indicates whether the timesheet is Pending, Approved, or Rejected.
  • Submitted Date – Shows when the timesheet was submitted for approval.
  • Approved By – Displays the name of the manager or administrator who approved the timesheet.
  • Remarks – Shows any comments or feedback provided during the approval or rejection process



Roles and Permissions:


Organization Owner/Manager:

  • They can view reports of all members in the organization.


Delivery Head:

  • These roles can view reports of all members in the organization.


*Dept Head(User)

  • They can view reports of self and asssigned Department Members.


Team Lead(User):

  • They can view reports of self and asssigned Teams Members.


Project Manager (User):

  • They can view reports of self and asssigned Project Members.


User:

  • User can view reports of only themselves.

The Timesheet Approval Report section gives you a consolidated report of the Action taken on the Timesheets sent for Approvals.



  1. Navigate to the Reports section and click on Timesheet Approvals Report.



  1. Select the required Select By, Date Range, Status, Member, and Group By criteria based on the data you want to generate.



  1. Click the Generate Report button to retrieve the report data.



  1. Click the Members dropdown and select members based on Departments, Teams, or Individual Members.



Timesheet Approval Report – Filters, Send, Schedule, and Download


Filters


The Filters option allows you to refine the Timesheet Approval Report based on specific criteria. You can filter the report by employee, team, project, task, approval status (Pending, Approved, or Rejected), manager, and the selected date range to generate a more focused report.


  1. Use the Date Filter option to filter the report by:


The Date Filter in the Timesheet Approval Report allows you to view and manage submitted timesheets for a specific period. It helps managers review, approve, or reject employee timesheets based on the selected timeframe.


Weekly


Select the Weekly option to display all timesheets submitted during the current or selected week. This filter helps managers review weekly logged hours, monitor pending approvals, and ensure timesheets are approved on time.


Monthly


Select the Monthly option to view all timesheet entries submitted during the current or selected month. This filter provides a comprehensive overview of employee work hours, making it useful for monthly payroll processing, project tracking, and performance evaluation.


Date Range


Select the Date Range option to specify a custom From and To date. This allows you to generate the Timesheet Approval Report for any desired period, making it ideal for payroll verification, client billing, compliance audits, and custom reporting.

  1. You can further refine the report by applying the following filters:


  • Timesheet Type
  • Project
  • Time Duration
  • Status
  • Approved/Denied By



  1. After selecting the desired filters, click the Apply button.



Send


The Send button allows you to share the Timesheet Approval Report directly via email. Select the recipient(s), enter the required details, and send the report without downloading it.


  1. To share the report, click the Send button and send the Timesheet Approvals Report to the desired recipients.



Schedule


The Schedule option enables you to automate the delivery of the Timesheet Approval Report. You can configure the report to be emailed automatically at a predefined frequency, such as Daily, Weekly, or Monthly, to the selected recipients. This helps managers receive regular updates on timesheet approvals without manually generating the report.


  1. To automate report delivery, click the Schedule Report button and configure the scheduling settings as required.



Download


The Download button allows you to export the Timesheet Approval Report to your local system. Depending on your account configuration, the report can be downloaded in Excel or CSV format for payroll processing, project tracking, compliance audits, billing, or offline analysis.


  1. To export the report, click the Download button and select either PDF or CSV as the download format.



  1. You can view the report data by selecting either Group by Date or Group by Member view.
