Time Off Transactions Report – Overview
The Time Off Transactions Report in Workstatus provides a detailed record of all employee leave and time-off transactions. It helps HR teams, managers, and administrators monitor leave requests, approvals, cancellations, and leave balance adjustments, ensuring accurate leave management and payroll processing.
Key Information Available in the Time Off Transactions Report
- Employee Name – Displays the name of the employee who requested or received a leave transaction.
- Transaction Date – Shows the date on which the leave transaction occurred.
- Leave Type – Displays the type of leave, such as Sick Leave, Casual Leave, Paid Leave, Unpaid Leave, or Vacation.
- Transaction Type – Indicates the type of transaction, such as Leave Requested, Approved, Rejected, Cancelled, Accrued, or Adjusted.
- Leave Duration – Displays the total number of leave days or hours involved in the transaction.
- Leave Balance – Shows the employee's available leave balance after the transaction.
- Approval Status – Indicates whether the leave request is Pending, Approved, Rejected, or Cancelled.
- Approved By – Displays the name of the manager or administrator who processed the request.
- Remarks – Shows any comments or notes associated with the leave transaction.
- Navigate to the Reports section and click on Time Off Transaction Report.
- Select the required Select By, Date Range, Member, and Group By criteria based on the data you want to generate.
- Click the Generate Report button to retrieve the report data.
- Click the Members dropdown and select members based on Departments, Teams, or Individual Members.
Date Filter in Time Off Transactions Report

The Date Filter in the Time Off Transactions Report allows you to view employee leave and time-off transactions for a specific period. It helps HR teams, managers, and administrators analyze leave records based on the selected timeframe.
Weekly
Select the Weekly option to display all time-off transactions for the current or selected week. This filter provides a summary of leave requests, approvals, rejections, cancellations, and leave balance updates that occurred during the selected week. It is useful for monitoring weekly leave activities and managing workforce availability.
Monthly
Select the Monthly option to view all time-off transactions for the current or selected month. This filter provides a comprehensive overview of employee leave activities, including approved, pending, rejected, and cancelled requests, making it ideal for monthly leave tracking, payroll processing, and HR reporting.
Date Range
Select the Date Range option to specify a custom From and To date. This allows you to generate the Time Off Transactions Report for any desired period, making it useful for leave audits, payroll reconciliation, compliance reviews, historical leave analysis, and custom reporting.

Filters

The Filters option allows you to refine the Time Off Transactions Report by applying specific criteria. You can filter the report by employee, team, department, leave type, approval status, manager, and the selected date range. This helps you generate a focused report to analyze employee leave requests, approvals, cancellations, and leave balance transactions.

Send
- To share the report, click the Send button and send the Time Off Transaction Report to the desired recipients.
The Send button allows you to share the Time Off Transactions Report directly via email. Simply select the recipient(s), enter the required details, and send the report without downloading it. This feature is useful for sharing leave transaction reports with HR teams, managers, payroll administrators, or other authorized stakeholders.
Schedule
- To automate report delivery, click the Schedule Report button and configure the scheduling settings as required.
The Schedule option enables you to automate the delivery of the Time Off Transactions Report. You can configure the report to be sent automatically at a predefined frequency, such as Daily, Weekly, or Monthly, to the selected recipients. This ensures stakeholders receive regular updates on employee leave transactions without manually generating the report.
Download
- To export the report, click the Download button and select either PDF or CSV as the download format.
The Download button allows you to export the Time Off Transactions Report to your local system. Depending on your account configuration, the report can be downloaded in supported formats such as Excel or CSV. This feature is useful for payroll processing, leave audits, compliance reporting, historical record-keeping, and offline analysis.
